ODK Central Basics

ODK Central is the server where your ODK projects, forms, users, app users, submissions, and exports live. If SurveyLoopr creates the server for you, Central is the day-to-day workspace your team uses to upload forms, manage field access, receive submissions, and review or export data.

If the wider platform is new to you, start with the ODK overview and meaning guide before learning the Central workflow.

This guide organizes the first things to learn after your server is running. Use the embedded videos for a visual walkthrough, then follow the official ODK documentation links for complete reference material.

What is ODK Central?

ODK Central is a web application for managing mobile data collection. In a typical workflow, a project manager creates a project in Central, uploads an XLSForm, gives mobile devices access through App Users or QR codes, and monitors incoming submissions.

SurveyLoopr handles the hosting layer for your server. ODK Central handles the fieldwork layer: projects, forms, submissions, roles, encryption, and exports.

Learn more in the official Using ODK Central documentation.

Tip:

If you do not have a server yet, start with Getting a Server. Come back here once your ODK Central admin password is set.

How do ODK Central and ODK Collect work together?

ODK Collect is the Android app enumerators use in the field. Collect downloads blank forms from Central, lets enumerators fill those forms offline, and uploads finalized submissions back to the server when connectivity is available.

The practical setup is:

  1. Create or upload the form in Central.
  2. Create an App User or QR code for the field device.
  3. Install ODK Collect on the Android device.
  4. Connect Collect to Central.
  5. Download blank forms, collect interviews, and send finalized submissions.

Our step-by-step ODK Collect setup guide covers the common pitfalls. If submissions get stuck later, see why ODK Collect won't send. Official docs: ODK Collect, Setting Up ODK Collect, and Using ODK Collect.

Note:

ODK Collect is designed to work offline. Field teams can download forms before travel, collect data without internet, and upload finalized submissions later.

How do I create my first ODK form?

ODK forms are usually built as XLSForms: Excel-style workbooks with survey, choices, and settings sheets. The official first-form tutorial walks through a small school census form and introduces question types, constraints, choices, labels, and form logic.

If you want to build manually, follow the XLSForm tutorial: Your first form. If you want AI assistance, use How to Convert a Word or PDF Questionnaire Using LooprAI to turn an existing questionnaire into an XLSForm.

How should I manage form versions?

Treat every published form as a production artifact. Before replacing a live form, test the draft, confirm the form ID and version, check media attachments, and make sure enumerators know whether they need to re-download the form.

Use Central's form draft and versioning workflow when you need to update a live form. Learn more in Managing forms in Central and Testing your forms.

Before enabling encryption on a live project, follow the ODK encryption and key management checklist and test the export and recovery workflow.

When should I use encrypted forms?

Use encrypted forms when submissions contain sensitive data and your program needs an additional protection layer for finalized records. Encryption can keep finalized submissions unreadable on the server, but it also changes how exports, integrations, and recovery work.

Read the official Encrypted Forms documentation before enabling encryption. For projects managed through ODK Central, also review Encrypted Forms in Central.

Warning:

Do not enable encryption casually. Confirm who holds the keys, how exports will be decrypted, and what your recovery process is before collecting real data.

How do exports and reporting work?

Central can export submissions as CSV files and expose data to external tools through OData. See how to export data from ODK Central for the step-by-step, or connect ODK to Power BI and Excel for live dashboards. For quality monitoring in SurveyLoopr, DataSnap can connect to SurveyLoopr-hosted forms or process ODK audit log CSV files.

For the complete post-collection handoff, follow the ODK submission review checklist before cleaning or analyzing the data.

What can developers do with the ODK Central API?

The ODK Central API lets developers automate many of the same actions available in the Central web interface. It covers authentication, users, projects, forms, submissions, datasets, entities, OpenRosa endpoints, OData endpoints, system endpoints, and encryption.

Use the ODK Central API reference when building integrations, automated exports, dashboards, or operational tooling.

For a practical integration plan, continue with the ODK Central API and automation guide.

Frequently Asked Questions

What is ODK Central used for?

ODK Central is used to manage ODK data collection projects. It stores projects, forms, app users, submissions, exports, roles, and server-side settings for field survey workflows.

Do enumerators use ODK Central directly?

Enumerators usually use ODK Collect on Android devices. Project managers use ODK Central to upload forms, create app users, monitor submissions, and export data.

Can I use ODK Central without Linux knowledge?

Yes. SurveyLoopr provisions and hosts ODK Central for you, so you can focus on Central's web interface, ODK Collect setup, forms, submissions, and reports instead of server administration.

Where should I start learning ODK?

Start with ODK Central basics, then learn ODK Collect setup, then build your first XLSForm. After that, learn submissions, exports, audit logs, encryption, and API integrations as needed.
