Terms of Service

1. Service use

SurveyLoopr provides hosting, XLSForm workspace, transcription, and operational management features. You agree to use the service only for lawful purposes and to keep your account credentials and encryption keys secure.

2. Hosting and infrastructure

SurveyLoopr provisions hosted ODK Central environments on Hetzner Cloud infrastructure. Each hosted environment is deployed as its own server instance. Location is assigned by Hetzner during provisioning, and SurveyLoopr does not currently expose a customer-facing region selector. The public service pages do not promise a particular geographic region, compliance certification, or data-residency outcome unless agreed in writing.

3. Billing and provisioning

Paid plans are activated through a third-party payment processor. When you place an order, you authorize SurveyLoopr to create and manage the requested hosting environment and to store the order metadata needed to provision, support, and bill the service.

4. Operational data and analytics

SurveyLoopr may process server metadata, operational metrics, and branding configuration to operate the service, troubleshoot issues, and improve the dashboard. If we add analytics or data-visualization features later, those features may also use the same operational data flow when needed to deliver the service.

5. Customer data and access

Customers retain their rights in Customer Data. Ordering hosting authorizes SurveyLoopr to create and manage the environment; it does not transfer ownership of the underlying infrastructure.

Customer survey responses, form submissions, media files, ODK users, projects, forms, and related respondent data remain within the customer's hosted ODK Central environment unless the customer exports, shares, deletes, or otherwise processes that data. Customers are responsible for configuring ODK Central users, permissions, forms, project settings, encrypted forms, and compliance workflows.

SurveyLoopr may access hosted server infrastructure when needed to provision, maintain, troubleshoot, secure, migrate, pause, resume, or delete a server, or when a customer requests support. SurveyLoopr does not sell customer survey response data.

XLSForm workbooks and LooprAI inputs may contain sensitive research design or respondent information. Review generated forms and permissions before publishing; AI-generated output is a draft and is not a substitute for researcher review.

6. Security and encryption

Hosted ODK Central servers are configured for HTTPS access. HTTPS protects data in transit, not stored submissions after they reach a server. Customers should enable ODK form encryption for sensitive data, keep the private key outside SurveyLoopr, and maintain independent exports and recovery procedures.

SurveyLoopr does not guarantee that a customer's use of the service satisfies any specific law, regulation, institutional review requirement, or certification unless that commitment is separately agreed in writing.

7. Backups, snapshots, and deletion

Hosted servers include automated daily backups and backup-status monitoring. Backup availability is not a guarantee that a customer can meet a particular law, ethics requirement, recovery point objective, or retention obligation. Customers should maintain independent exports and should not store encryption private keys on the hosted server.

8. Acceptable use

• Do not attempt to access other customers' servers or data.
• Do not use the service to distribute malware or conduct abuse.
• Do not interfere with platform security, availability, or monitoring.

9. Changes and support

We may update the service, policies, or infrastructure over time. If a change materially affects your account, we will make a reasonable effort to notify you through the dashboard or by email.
